These automated programs are infiltrating publicly available genealogy webinars and virtual meetings at an alarming rate. They’re not there to learn about passenger lists or land records. They’re scraping content, harvesting data, and in some cases, disrupting events that genealogy societies have spent months planning. For organizations already stretched thin on volunteer resources, this emerging threat demands immediate attention.
What Exactly Are These Zoom Bots Doing?
The problems these bots create extend far beyond simple annoyance. They represent a genuine threat to the intellectual property, privacy, and operational integrity of genealogy organizations.
- Content theft tops the list of concerns. Professional genealogists spend countless hours developing original research methodologies, creating unique case studies, and preparing educational content for their presentations. When bots record and scrape this material without permission, they’re stealing intellectual property. Speakers who rely on their expertise for their livelihood find their carefully crafted presentations redistributed without consent or compensation. The webinar you spent three months preparing? It could be posted on another platform within hours, complete with your research strategies and proprietary techniques.
- Registration data becomes vulnerable. Many genealogy societies collect email addresses, names, and sometimes demographic information during webinar registration. Bots can potentially harvest this information, building databases of genealogists and family historians for spam lists or other unwanted purposes. Your members registered for a DNA methodology workshop, not to have their contact information sold to marketing companies.

According to the CyberAlberta investigation at https://cyberalberta.ca/zooming-out-webinartvs-rampant-scraping-of-online-meetings, Webinars TV has been systematically joining publicly available Zoom meetings and webinars, recording them without permission, and republishing the content on their own platform. The site operates by using automated bots to discover and join meetings, then making the recorded content available through their website.
The investigation revealed that Webinars TV wasn’t targeting just a handful of meetings. They were operating at scale, scraping thousands of webinars across multiple disciplines and industries. Educational institutions, professional organizations, and yes, genealogy societies have all found their content republished without authorization.
What makes this particularly troubling for genealogy organizations is the nature of our content. Genealogy webinars often feature original research, unpublished methodologies, and case studies that presenters plan to use in future publications or paid courses. When this content appears on Webinars TV or similar scraping sites, it undermines the presenter’s ability to monetize their expertise and can even create complications with publishers who expect original, unpublished material.
The Webinars TV case also highlights how vulnerable publicly available meetings have become. These bots don’t need to hack anything. They simply join meetings that are advertised publicly, behaving just passively enough to avoid immediate detection. By the time you realize what happened, your content is already circulating on another platform.
What Zoom Administrators Can Do Right Now
If you’re responsible for your genealogy society’s Zoom account, you have several tools at your disposal to reduce bot infiltration. These aren’t foolproof, but they significantly raise the barrier for automated scraping.
- Enable registration for all webinars and meetings. This simple step eliminates casual drive-by bots. Require participants to provide a name and email address before receiving the meeting link.
